My Vault

My Vault is each technician's personal password vault in Hudu, built for credentials that don't belong under a specific client or company. Every user gets their own vault, accessible from the Hudu Toolbar on both the web and mobile apps. This article covers how to create personal passwords, organize them with folders, import and export entries in bulk, and manage your vault with bulk actions.

Visit Password Management, Importing Data, and Password Folders for additional information on passwords in Hudu.

Guides

The sections below walk through creating, organizing, and managing the passwords stored in your vault. Access to My Vault and its functions may vary depending on your Hudu user role and the security permissions set by your admin or super admin.

Passwords stored in My Vault cannot be moved to a client/company password section, and company passwords cannot be moved into My Vault. Choose the location that fits before creating the entry.

Creating a new personal password

  • Click My Vault on the Hudu Toolbar (person & lock icon in older versions) to open your personal password vault.
  • Click + New to manually create a password entry.
  • In the New Personal Password window, complete the fields:
    • Name — give the password an easily identifiable name (ex. "WordPress Admin").
    • Username (optional) — the name or email address associated with this password.
    • Password — enter a secure password, or click Generate.
    • One-time password (optional) — enter the secret key from any third-party authenticator, or upload the QR code, and Hudu will generate a 6-digit code that resets every 30 seconds. The secret key must be at least 16 characters long and use Base32 formatting.
    • URL (optional) — a valid URL you'd like tied to this password.
    • Notes (optional) — any relevant notes for this password.
  • Click Create to finish, or Create and Add Another to keep adding entries.

Creating a new folder

Folders keep your vault organized as it grows, grouping related credentials together for faster access.

  • Open My Vault from the Hudu Toolbar.
  • Click New Folder in the top right.
  • Give the folder a clear, identifiable name and save.
  • Assign passwords to the folder either when creating/editing an entry, or in bulk using Bulk Actions (see below).

Importing passwords

You can bring existing personal passwords into My Vault in bulk from a .csv file, rather than adding them one at a time.

  • Open My Vault from the Hudu Toolbar.
  • Click the Bulk Import button in the top right.
  • Download the import template.
  • When your ready, add the filled out template and click Upload.

Visit Importing Data for the required .csv format and full import instructions.

Exporting passwords

You can export the contents of your vault in bulk using the Export button in the top right of My Vault. This is useful for backups or for moving credentials to another tool.

Exported files contain passwords in plain, unencrypted text. Store the export securely, share it only when necessary, and delete it once it's no longer needed.

Bulk actions

Bulk actions let you manage several vault entries at once instead of opening each one individually.

  • In My Vault, select the checkbox next to one or more passwords.
  • The Bulk Actions menu appears above the list. From here you can:
    • Move the selected passwords into a folder.
    • Delete the selected passwords.

Deleting passwords in bulk is permanent. Double-check your selection before confirming.

FAQ

Can other users see the passwords in my vault?

No. My Vault is personal to your Hudu account — each technician has their own separate vault, and the credentials inside it aren't visible to other users. Actions taken on passwords are still recorded in the Activity Logs available to admins and super admins.

Can I move a password between My Vault and a client/company?

Not currently. Passwords created in My Vault stay in your vault, and passwords stored under a client/company can't be moved into your vault. Create the entry in the location where it needs to live.

What file format do I need to import passwords?

My Vault imports from a .csv file. See the Importing Data article for the exact column format and step-by-step instructions.

Is My Vault available on the mobile app and browser extensions?

Yes. My Vault brings over your existing personal passwords from the Hudu web instance and is accessible in the Hudu mobile app, the Hudu Password Manager extension, and Hudu Assist.

Your My Vault folders are available in each of these as well, so you can browse your vault by folder. In the Password Manager and Hudu Assist extensions, you can also choose a folder when creating a new My Vault password or passkey.

Can portal users use My Vault?

Yes. While portal users have read-only access to company records, My Vault is the exception. When My Vault is enabled for your account and for the portal user's group, they can create, organize, and delete passwords and folders in their own vault, just like any other user. The same applies to Spectators.

Portal users can also use My Vault in the Hudu mobile app, the Hudu Password Manager extension, and Hudu Assist when those apps are enabled. Since they can't create company passwords, new passwords and passkeys they save from the extensions go to their My Vault. Here is our guide on Portal Users for more information.
