Starting with the Hudu HQ billing portal

We're thrilled to introduce our new billing portal, Hudu HQ, designed to provide a centralized place for managing your account, subscriptions, and user licenses. Whether you need to add new users, adjust user counts, or update your billing information, Hudu HQ is your go-to platform.

Whether you are a new user signing up for the first time, starting a free trial, or an existing customer, we've put together this guide to help you navigate the new Hudu HQ billing portal.

Creating a Hudu HQ account

  • Visit Hudu HQ Sign-Up.
  • Enter your credentials and click Sign Up.
  • Follow the instructions to set up Multi-Factor Authentication (MFA).
  • Read and accept the Hudu Terms of Service.

Starting a free trial in HQ (new customers)

Eager to test the waters before committing? Once you have signed up for your free trial on our website, get started setting up your HQ account with these steps:

  • Create a Hudu HQ account.
  • Choose your hosting method (hosted or self-hosted).
  • Specify the number of users for the trial.
  • Click Start Free Trial.
    • Please note: No credit card is required for the free trial.

Hudu Cloud-Hosted

  • Select your preferred data center.
  • We'll start working on setting up your trial environment. Once complete, your HQ account will be updated with your instance URL and activation key.
  • Visit your instance URL and create an account (this will be the first super-admin for the environment).
  • Enter the license/activation key provided in Hudu HQ.
  • Manage your trial straight from Hudu HQ, including changing the number of users.
  • When ready, select Setup Billing to convert to a paid subscription.

Hudu Self-Hosted

  • Follow the instructions for setting up a self-hosted environment.
  • Visit your instance URL and create an account (this will be the first super-admin for the environment).
  • Enter the license/activation key provided in Hudu HQ.
  • Manage your trial straight from Hudu HQ, including changing the number of users.
  • When ready, select Setup Billing to convert to a paid subscription.

Switching over to Hudu HQ (existing customers)

If you're already a paying Hudu customer, we must link your new Hudu HQ account to your existing billing account and license key. Follow these steps:

  • Create your Hudu HQ account as outlined above.
  • On the My Dashboard tab, find the section titled "Already a Hudu Customer".
  • Follow the link to submit a support ticket to our team.
  • Please provide us with the following:
    • The billing email linked to your previous billing account. This is likely the email currently receiving invoices.
    • A screenshot of your license key from within your Hudu instance (found at Admin > License Key).
    • Last 4 digits of the credit card on file.
    • Latest invoice number and amount.
    • Your Customer Identifier code provided by Hudu HQ.

Additional Hudu HQ actions

Changing license count

Adding and removing licenses from your billing plan needs to be done first in your Hudu HQ account. To adjust your licensed user count:

  • Click Manage from your Hudu HQ Dashboard.
  • Increase or decrease the quantity of Hudu Users.
  • Click Update to save.
    • Changes are prorated automatically.
    • An invoice will be sent out shortly after. 
  • To see the license count change in your Hudu environment immediately, refresh the license key:
    • Navigate to Hudu > Admin > License Key.
    • Select Refresh.

Add/Manage Hudu Radar

  • Click Manage on the Hudu HQ Dashboard.
  • In the Add Hudu Radar section, either:
    • Select Start free trial or,
    • Adjust the number of Radar Licenses or,
    • Subscribe to keep using Hudu Radar.

 

Updating payment method

  • Click Manage from the Hudu HQ Dashboard.
  • Click Invoices & Payment.
  • Under Payment Method, select + Add Payment Method.
  • Enter details to add a new card or connect your bank account.
  • Click Add when complete.
  • Under Current Plan, select the pencil icon next to your current payment method.
  • Select the desired payment method from the list. You can also add a new payment method here.
  • Click Update.

Billing frequency changes & cancellation

Hudu offers both monthly and annual billing options. If you'd like to switch your subscription preference, please submit a ticket and our support team will assist you.

If you wish to cancel your subscription, click the Cancel Subscription option at the bottom of your Hudu HQ dashboard and follow the prompts.

Cloud-Hosted customers: Upon cancellation or expiration of your subscription, access to your Hudu environment is terminated immediately. You are responsible for exporting any required data prior to cancellation, as data will become inaccessible once the subscription ends.

Self-Hosted customers: Upon cancellation or expiration, your instance will enter Limited Mode (read-only). You will retain access to your data until you decommission your server.

Updating billing information or tax ID

  • Click Manage from the Hudu HQ Dashboard.
  • Click Invoices & payment.
  • Under Billing Information, click Update Information.
  • Enter your new billing information and click Save.

Viewing invoices

  • Click Manage from the Hudu HQ Dashboard.
  • Click Invoices & payment.
  • All past invoices will show up under the Invoice History section.
  • To download an invoice or receipt, click to open the desired invoice.

Resetting MFA

Note: Resetting your Hudu HQ MFA must be handled by our support team. Please submit a ticket.

Hudu HQ requires MFA to be set up for your account. If this needs to be reset, we will require:

  • The request come from the same email associated with the Hudu HQ account.
  • A screenshot of your license key (found at Admin > License Key).
  • Verification of the billing email.
  • The last 4 digits of the card on file.
  • The latest invoice number and amount.

Please note, additional verification may be requested.

What if I have multiple keys?

Multiple keys can be managed via a single Hudu HQ account. If you're managing multiple keys, please create a ticket with our support team and provide your Customer Identifier so the keys can be linked to the correct account.

Can multiple users manage the Hudu HQ account?

Yes. Navigate to your Hudu HQ dashboard > Billing Admins and create an Invite Link to send.

Note: Invite links are only valid for 24 hours. After that, you will need to reset the link.

Limited mode

If your Hudu environment has more users than the number of users being paid for, your environment will enter Limited Mode (you still have access to your data, but you will not be able to add data or make changes within your environment).

To resolve this, follow the steps in the Changing License Count section above to increase the number of users being paid for.
