Hudu HQ - Billing Portal

Hudu HQ is our billing portal — a centralized place to manage your account, subscriptions, and user licenses. Whether you're signing up for the first time, starting a free trial, or an existing customer moving your billing over, this guide walks you through everything you can do in Hudu HQ.

Creating your Hudu HQ account

  • Visit Hudu HQ Sign-Up.
  • Enter your credentials and click Sign Up.
  • Follow the instructions to set up multi-factor authentication (MFA).
  • Read and accept the Hudu Terms of Service.

Starting a free trial (new customers)

Want to test the waters before committing? Once you've signed up for your free trial on our website, set up your HQ account:

  • Create a Hudu HQ account.
  • Choose your hosting method — hosted or self-hosted.
  • Specify the number of users for the trial.
  • Click Start Free Trial.

   No credit card is required to start a free trial.

The next steps depend on your hosting method:

Hudu Cloud-Hosted Hudu Self-Hosted
  • Select your preferred data center.
  • We'll set up your trial environment. Once it's ready, your HQ account is updated with your instance URL and activation key.
  • Visit your instance URL and create an account — this becomes the first super-admin for the environment.
  • Enter the license/activation key provided in Hudu HQ.
  • Manage your trial straight from Hudu HQ, including changing the number of users.
  • When ready, select Setup Billing to convert to a paid subscription.

Switching to Hudu HQ (existing customers)

If you're already a paying Hudu customer, we need to link your new Hudu HQ account to your existing billing account and license key:

  • Create your Hudu HQ account as outlined above.
  • On the My Dashboard tab, find the section titled "Already a Hudu Customer".
  • Follow the link to submit a support ticket to our team.

Please include the following in your ticket:

  • The billing email linked to your previous billing account (likely the email currently receiving invoices).
  • A screenshot of your license key from within your Hudu instance (found at Admin > License Key).
  • The last 4 digits of the credit card on file.
  • Your latest invoice number and amount.
  • Your Customer Identifier code provided by Hudu HQ.

Managing your subscription

Changing your license count

License changes must be made first in Hudu HQ. To adjust your licensed user count:

  • Click Manage from your Hudu HQ Dashboard.
  • Select Add / remove licenses.
  • Adjust the number of license.
  • Click Update to save. Changes are prorated automatically, and an invoice is sent out shortly after.
  • To see the change reflected in your Hudu environment immediately, refresh the license key: navigate to Hudu > Admin > License Key and select Refresh.

Adding or managing Hudu Radar

  • Click Manage on the Hudu HQ Dashboard.
  • Select Add / remove licenses if you already use Hudu Radar.
  • Select Start free trial if you'd like to try it out.
  • If you are already using Hudu Radar, choose the number of Radar licenses.
  • Click Update to save.

Updating your payment method

  • Click Manage from the Hudu HQ Dashboard.
  • Click View Invoices.
  • Under Payment Method, select + Add Payment Method.
  • Enter details to add a new card or connect your bank account, then click Add.
  • Under Current Plan, select the pencil icon next to your current payment method.
  • Select the desired payment method from the list (you can also add a new one here), then click Update.

Updating billing information or tax ID

  • Click Manage from the Hudu HQ Dashboard.
  • Click View Invoices.
  • Under Billing Information, click Update Information.
  • Enter your new billing information and click Save.

Viewing invoices

  • Click Manage from the Hudu HQ Dashboard.
  • Click View Invoices.
  • All past invoices appear under the Invoice History section.
  • To download an invoice or receipt, click to open the desired invoice.

Changing billing frequency or cancelling

Hudu offers both monthly and annual billing. To switch your billing cycle, click the Manage dropdown, and select Change billing cycle.

To cancel, click the Manage dropdown, select Cancel subscription, and follow the prompts.

    Cloud-Hosted customers: on cancellation or expiration, access to your Hudu environment is terminated immediately. Export any data you need before cancelling — it becomes inaccessible once the subscription ends. See Exporting Data.

    Self-Hosted customers: on cancellation or expiration, your instance enters Limited Mode (read-only). You retain access to your data until you decommission your server.

FAQ

How do I reset my MFA?

Resetting your Hudu HQ MFA must be handled by our support team, so please submit a ticket. Because MFA is required on every Hudu HQ account, we'll ask you to verify the following before resetting:

  • The request comes from the same email associated with the Hudu HQ account.
  • A screenshot of your license key (found at Admin > License Key).
  • Verification of the billing email.
  • The last 4 digits of the card on file.
  • The latest invoice number and amount.

Additional verification may be requested.

What if I have multiple keys?

Multiple keys can be managed from a single Hudu HQ account. Create a ticket with our support team and provide your Customer Identifier so the keys can be linked to the correct account.

Can multiple users manage the Hudu HQ account?

Yes. Navigate to your Hudu HQ Dashboard > Billing Admins and create an Invite Link to send. Note that invite links are only valid for 24 hours — after that, you'll need to reset the link.

What is Limited Mode?

If your Hudu environment has more users than the number you're paying for, it enters Limited Mode: you still have access to your data, but you can't add data or make changes. To resolve it, follow the steps in Changing your license count above to increase the number of users being paid for.
